AGM 2026 Formal Notice

AGM 2026 Formal Notice

updated: Aug 6. 2026

Dear IPS family,

We would like to extend an enthusiastic invitation to our Parent Orientation Annual General Meeting at Island Pacific School on Tuesday, September 15, 2026, from 6:00 PM to 8:00 PM.

This email includes important information about the evening, the governance of the school, and several decisions that will come before you at the AGM. Please take a few minutes to read it carefully.

We’ve set up the evening in three parts: our AGM, a potluck social and our parent orientation. This is an opportunity to engage with the school’s vision, contribute to important decisions, and strengthen our collective commitment to surprising and challenging our children to become the very best of who they are.

On that note, we are looking for a few more Board members and any member of the Society in good standing wishing to stand for election or wishing to nominate another member to stand for election should contact Brad at brad.carter@go.islandpacific.org or the Board Chair, Travis Beals, by email at travis.beals@go.islandpacific.org.

The evening is also an opportunity for you to get to know the wonderful teachers who will be guiding your children this year, and to learn about the exciting programs and activities we have planned. You can ask questions, share your thoughts, and really get a sense of what’s in store for your child in the year ahead.

This evening only works when we’re all in the room. It’s how we build a school where every student feels seen, supported, and stretched. We hope you’ll make it a priority to come.

Part 1: Annual General Meeting

6:00-6:30 PM

Hosted by the Island Pacific School Society Board of Directors

As a parent or guardian, you’re automatically a member of the IPS Society and this is your opportunity to take part in the governance of the school.

The AGM is an essential part of our school’s operations, ensuring transparency and fulfilling our legal obligations. Our agenda includes formally approving our financial statements, appointing our auditor and electing directors. We don’t take it lightly, but we’re good at making this essential step quick and businesslike.

Agenda

  • Adoption of Agenda & Past Minutes
  • Chair’s Report
  • Treasurer’s Report
  • Appointment of Auditors
  • Board Elections
  • Committee Overview
  • Adjournment of Formalities
  • Closing Remarks

Intermission: Community Potluck

6:30-7:00 PM

Hosted in the Colin Ruloff Community Field House.

After the AGM, we invite you to take a break, grab a plate, and share a meal together. Bring something you enjoy making and don’t worry if it’s store-bought. This isn’t about impressing anyone. It’s about connection.

The potluck gives us a moment to slow down, share stories, and meet the people you’ll be seeing on the sidelines, at the ferry, or at the next school event. We’ll take care of plates and cutlery-just bring a dish to share.

Part 2: Parent Orientation Night

7:00 – 8:00 PM

Hosted by the IPS Faculty and Staff

Once the AGM wraps up, we’ll turn to what matters most: your child’s daily experience.

You’ll hear directly from your child’s teachers about what they’re learning, how we nurture growth, and the routines and rhythms that shape each school day. You’ll also get a deeper look into our academic approach.

There will be time for conversation, questions, and connection. And of course, a chance to get to know the people who will be walking alongside your child during these pivotal years.

If you have any questions ahead of the evening, just contact the school office we’re always happy to help.

We can’t wait to welcome you.

Warm regards,

Travis Beals
